Crew Assistant

Place of work: Gdynia

 

OVERALL PURPOSE OF THE JOB:

The Crew Assistant will be responsible for the execution of the mobilization process of seafarers of particular nationalities. The role is also responsible for coordinating with training centers and medical providers when necessary as well as contacting seafarers on the process of mobilization.

 

 

KEY RESPONSIBILITIES AND TASKS:

·         Ensuring timely processing of visa and other formalities relating to the joining crew.

·         Ensuring that all the pre joining documents are complete, checked and verified as genuine as per the applicable requirements.

·         Responsibility for the pre-joining preparation of approved personnel: certification, courses and tests, medical examination appointment.

·         Maintaining contact with personnel while on leave and during mobilization.

·         Responsibility for making all training enrolments.

·         Maintaining accurate and up to date records in IT System (ShipSure Crewing) and uploading documents if required.

·         Responsibility for processing flag state document applications and maintaining control procedures.

·         Providing administrative assistance to other members of the Crew Department.

 

REQUIREMENTS OF THE JOB:

  • Education: at least Vocational Diploma, Bachelor’s/College Degree from any field.
  • Very good English skills.
  • Good computer operating skills including word processing and spreadsheet experience.
  • Excellent interpersonal skills with the ability to engage and interact with people at all levels.
  • Keen attention to details.
  • Thorough awareness and good understanding of cultural and diversity issues.
  • Good organisational and planning skills.
  • Proven ability to work to, and meet, tight deadlines.
  • Experience in a similar role preferably in Subsea/Marine/Offshore Construction Industry would be a plus.
